What is WellSet, and why should I be involved?

WellSet is the first centralized marketplace to find and book wellness providers. Our aim is to bring the industry together under one “roof” so that people can know where to book the right practitioner to help them on their healing journey and so that practitioners can run their business with an all-in-one tool. We aim to make preventative healthcare more accessible to everyone. As a practitioner, we aim to bring you new clients and help you manage your bookings and schedules more easily. We are a one stop shop for marketing tools, credibility, and client management. You should spend more of your time on the thing you love – helping your clients heal! Beyond our technology, we believe in the power of community — we host events for practitioners to ensure you not only are giving, but also receiving.

Does it cost money to join WellSet?

It is free to be listed on WellSet but we do take a referral fee for new clients of $40 and confer a 10% credit card transaction fee on all other transactions. If you choose to opt in to a premium membership, it is $19.99 per month and membership means you don’t have to pay the referral fee or 10% transaction fee – you only pay a 2.9% credit card fee. See the section below called How Does WellSet Make Money. 

How does WellSet Make money?

1. We think wellness practitioners should have an easy and affordable way to manage their business and find new clients. It shouldn’t break your bank to grow your practice! It is free to create your practitioner profile on WellSet and to take bookings, payments and manage your calendar. For every net new client you get through our platform, we take a one-time $40 referral fee. From then on, there is a 10% transaction fee that helps us pay the credit card companies for the transaction and to manage our business costs. That’s it. We want this to be easy for you. We don’t make money unless you make money. 

2. If you opt in to being a Pro member, all referral fees and transaction fees are waived other than a standard 2.9% transaction fee. You pay $19.99 per month to be a Pro member and can subscribe or cancel your subscription from your subscriptions/account page within your practitioner dashboard. This tier means that you can bring all of your clients through our platform and use WellSet as a primary booking engine!

2. You can also choose to opt in to being a WellSet Select practitioner. These practitioners have a blue checkmark next to their name and show up first in search results. To become Select, you must complete a positive background check and have your references and credentials verified by our team. To be a Select practitioner costs $25/year. You can opt into this on your dashboard. Please note: Premium features are ALWAYS optional and you have the choice to use the free version of WellSet to find new clients and manage bookings. If you’d like to cancel your subscription, you have 3 days after payment to do so. However, please note that there is a non-refundable fee of $11.11 that goes towards paying for the background check to be processed.

WellSet Select Practitioners

What are the benefits of becoming a WellSet Select Practitioner?

WellSet Select practitioners have been vetted and approved by the WellSet team. They are displayed first above any other practitioners who are not Select in the marketplace. They also have a blue checkmark next to their name in the marketplace and ‘WELLSET SELECT PRACTITIONER’ is displayed under their name. If you become a WellSet Select practitioner, clients can rest easy that you have been background checked, your references have been checked and you have submitted your credentials to the WellSet team. Finding and booking a wellness provider is a little bit like comparing apples to oranges – and we want to change that so that clients can begin their healing journey with confidence. Getting the help you need shouldn’t be scary!

How do I become a Select Practitioner?

Becoming a WellSet Select practitioner is an easy three step process. Being WellSet Select shows that you’ve been vetted by the WellSet team, have had your credentials and client testimonials reviewed and have successfully passed a background check administered by our secure third-party background check administer, Checkr.

To become Select, you’ll need to complete the following three steps:
1. Upload a copy of your certificate to your profile
2. Submit at least 2 positive references from clients or colleagues
3. Pass a background check administered by Checkr through our platform (third party background checks are not accepted)

To initiate this process, login to your practitioner account and navigate to your dashboard. On the homepage, click ‘Get Verified’. Once you’ve completed the three step process, you will receive an email from our team and a blue badge of verification next to your name! 

What is a background check?

Safety is our utmost priority. That’s why we’ve included background checks into our WellSet Select process to ensure that our community is built on safety and trust. A background check reviews a person’s criminal, employment, history and confirms identity. This check does NOT affect your credit.

Does the background check affect my credit?

No!

Who is Checkr and can I trust them?

Our third party background check partner Checkr is a secure system that doesn’t share your Social Security information with the WellSet team, simply whether you’ve cleared. Checkr is widely used for companies like Uber, Instacart, Zillow, GrubHub and Lyft. 

Can WellSet see the results of my background check?

Yes, the WellSet team sees the results of your background check. Our third party background check partner Checkr is a secure system that doesn’t share your Social Security information with the WellSet team, but we do see whether you have received a “CLEAR”, “CONSIDER” or “FAILED” background check. If you have received any result other than CLEAR, the WellSet team reserves the right to not grant practitioners WellSet Select Status. 

What happens if my background check does not pass with CLEAR?

The WellSet team reserves the right to not grant Select status to a person who does not pass the Checkr background check with a status of CLEAR. We cannot refund the fee to apply for the background check.

How can I cancel my subscription?

While logged in you will find a link to head to your account settings. On that tab you will find a section to unsubscribe. Please note that if you’d like to cancel your Select subscription, you have 3 days after payment to do so. If you’d like to request a refund within those three days, please email us at hello@wellset.co. However, please note that there is a non-refundable fee of $11.11 that goes towards paying for the background check to be processed.

Practitioner Account

How do I create an account on WellSet?

Creating an account is easy and free. You simply go to our practitioner sign up and follow the subsequent prompts. Please ensure you fill out all requested information as it helps create your perfect profile for new clients to find and book sessions with you. Our team DOES NOT approve profiles that are halfway filled out.

What if I forgot my password?

If you are having trouble remembering your password, please select the ‘Forgot Password’ link below the practitioner log in fields to reset your password.

What if I forgot my email to log-in?

If you’ve forgotten which email you signed up with, contact us at hello@wellset.co with your full name and our team will assist you in figuring out which email is associated with your account.

How can I change my current location?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Profile’ tab and select the button ‘Edit Profile’ to the right of your profile picture. This will allow you to edit all fields of your profile, including your current location, under the field title ‘Where are you located?’.

Can I choose more than one modality?

Yes! However, it is critical that you are trained and certified in any modality you list under your practice to ensure safety and trust for our clients. 

How do I deactivate or delete my account?

You can delete your account via your dashboard under the Account Settings tab.

What if I create two accounts?

How can I view my notifications?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Bookings’ for all info on upcoming sessions. This will include all session info such as requests, rescheduling, canceling or chats from your clients. Aside from your dashboard, we will also email you with any relevant notifications. 

How can I make changes to my practice description?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Profile’ tab and select the button ‘Edit Profile’ to the right of your profile picture. This will allow you to edit all fields of your profile, including your practice description.

How can I make changes to my session descriptions?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Sessions’ tab and select the button ‘Edit existing sessions’, this will allow you to edit your session description.  Make sure that you have tagged your sessions with relevant conditions.

How can I make my sessions more interesting to members?

When clients browse the marketplace, they will look for sessions that clearly address what they are uniquely experiencing. We recommend the following to make your sessions more interesting to members:

1. Create sessions and tag which conditions you specialize in! Whatever your specialty may be (i.e. infertility, anxiety or chronic pain), it is what makes your practice stand out amongst other practitioners. Use that to your advantage when creating sessions. 

2. Make your session titles clear and captivating! Instead of labeling a session “Consultation”, try something more expressive like, “Acupuncture for Better Sleep” or “Nutrition Consultation to Improve Gut Health”. 

3. Give clients options! We recommend adding at least 2-3 sessions to show the diversity of your practice. We recommend one session that is general and 2-3 sessions that are more specialized.

4. Add thoughtful session descriptions. Session descriptions are your space to share what clients can expect from a typical session with you. We encourage you to include what conditions will be addressed, the structure of the session and how clients can expect to feel after the session.

Why is it important to complete my profile?

Only completed profiles will be admitted to the marketplace. It takes 3-5 business days for our team to review new applications once they have been fully finished. Having a complete profile will provide more information for clients seeking your practice. The more information you have about your practice and sessions the easier it will be for them to not only find you but to also feel good about booking with you. Make your profile an extension of your website, add details to your practice overview, ensure you tell clients all the incredible training you’ve completed. 

What can I do if I don’t have any high-quality photos to use for my profile picture?

If you do not have any high-quality photos, we recommend asking a friend with a camera or the latest version iPhone to help take one of you! Choose a professional outfit and a plain background and smile!

How can I crop my profile picture or cover photo?

When uploading a profile or cover photo, our crop tool will automatically scale your photo to our sizing limit. 

How can I upload photos from my camera roll?

When creating your profile via your mobile device, you have the option to upload a photo from your library or take a live photo to us as your profile picture. Under the “Upload Profile Picture” section, click the default photo of practitioners. Select “Photo Library” or “Take Photo”. Once you have selected a or taken a live photo, use the cropping tool and click “Crop and Save”. Be sure to review our photo size and format guidelines if you run into any issues!

Sessions

How do I create a session?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Sessions’ tab and select the button ‘Add a new session’. 

How do I edit an existing session?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Sessions’ tab and select the button ‘Edit existing sessions’.

Can members leave reviews for specific sessions?

Yes! Once a member has seen you, they are able to leave a review. These reviews will show up on the bottom of you WellSet practitioner profile.

How do I change the location of my session?

Once logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Profile’ tab and select the button ‘Edit Profile’ to the right of your profile picture. This will allow you to edit all fields of your profile, including your session location. Please navigate to the question: ‘Where do you practice from?’ and if relevant, provide your address. 

Can I offer both virtual and in-person sessions?

Yes! If you have a practice that also is available virtually we recommend including both options. In order to have your virtual sessions show up in the search, you must have defined that you accept virtual bookings the Location area of your profile but you must also check the Virtual Session offering check box on your sessions! This is very important.

Do you offer video conferencing for virtual sessions?

WellSet does not provide integrated video conferencing software at this time, but we are working to bring you a telewellness solution for this soon. You can include video conferencing links in your initial reply to clients when you receive a booking request. Once a booking is confirmed, you can also utilize our chat box feature to communicate any contact information relevant to the session to clients.

How do I remove a session?

Once logged in, navigate to your dashboard. Click the ‘Sessions’ tab and select ‘Edit existing sessions’. Once here, you can click the trash icon located at the top right hand corner of each session to remove the session. Note that you cannot remove the first session you created as we require each practitioner to list at least one session.  

How can I link my sessions to my Google Calendar?

The easiest way to add sessions to your google calendar is from your confirmation email. Click the ‘Add to Google calendar’ link next to your booking time and date and follow the prompts from there! You can also add sessions to your Outlook calendar in the same way by clicking the Outlook buttons. 

Privacy Information

Can members see my personal information?

Your privacy is important to us! The only information ever shared with members is the information you list on your profile and your contact information / location when you’ve confirmed a session. This is to ensure the client can find you! Clients also do not receive information about your social pages. 

Can WellSet view my password?

No. After you have reset the password that WellSet defines for you once you’ve signed up, we never know your password. 

Does WellSet receive my bank information?

All payments are processed through our third party payment processor, Stripe. WellSet does not receive any of your personal bank information.

Can WellSet see the results of my background check?

Yes, the WellSet team sees the results of your background check. Our third party background check partner Checkr is a secure system that doesn’t share your Social Security information with the WellSet team, but we do see whether you have received a “CLEAR”, “CONSIDER” or “FAILED” background check. Why does WellSet conduct background checks for Select Practitioners?

Safety is our utmost priority. That’s why we’ve included background checks into our WellSet Select process to ensure that our community is built on safety and trust. A background check reviews a person’s criminal, employment, history and confirms identity.

Does WellSet share practitioners’ personal data with other companies?

For internal use and betterment of the WellSet product, we track the number of bookings and types of bookings on the platform as a whole. We may from time to time send you offers from partnering companies, but we hope you will find these curated offers to be a gift rather than a nuisance! You can always unsubscribe if you would like. 

What should I do if I think someone has logged into my account?

Please email hello@wellset.co to report any suspicious activity immediately so we can help resolve any potential issues.

How is WellSet encrypted?

WellSet is encrypted in two levels, it uses HTTPS security in the public pages and the API uses encrypted information.

Payments

What methods of payment does WellSet accept?

WellSet accepts all major credit cards.

How do I get paid through WellSet?

To get paid for your sessions, you must connect with Stripe, our secure third party transaction agent. To do this, you must be logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Dashboard’ tab and select the button ‘Connect with Stripe’. 

You get paid when your session completes (that means the session time has passed.)

What are WellSet’s pricing and fees?

What is WellSet’s refund policy for my clients?

If your client cancels more than 24 hours prior to your scheduled session, they will get a full refund, less the service fee of 3%. If they cancel within 24 hours of the session, their reservation cannot be refunded. This protects you and your time!

When do I get paid for a session?

As long as you have your account properly connected to Stripe, you will receive the payment for your booking within 24-48 hours after your booking has been completed.

Do I get paid directly into my bank account?

Yes! Once you’ve connected your bank with Stripe and completed a session, you will be paid directly to your bank account. To connect with Stripe you must be logged in, click on your profile photo in the top right hand corner and select ‘Dashboard’ from the dropdown. From there, navigate to the ‘Dashboard’ tab and select the button ‘Connect with Stripe’. 

You get paid when your session time has passed.

How am I expected to conduct myself with members?

We are on a mission to revolutionize modern alternative healthcare. To do this, it requires that, as a community, we hold each other up to the highest standard of excellence. We expect all practitioners listed on WellSet to treat clients with the utmost professionalism and respect. We also encourage you to be timely, clear and kind in all your communication with clients. Above all, our largest priority is safety. We expect all practitioners to maintain safe practices in every session with clients. 

Beta Questions

How do I know I’m off the waitlist?

Our team is getting through a high volume of practitioner sign ups as we officially launch in the LA marketplace. We will notify you by email when you’ve been approved to the marketplace! The quickest way to get off of the waitlist is to apply to be a Select Practitioner. We will review those practitioners first.

How do I know that I’m WellSet Select?

Once you’ve completed the three step process of becoming WellSet Select, you will receive an email from our team and a blue badge of verification next to your name! You will also know you are officially WellSet Select on your homepage of your practitioner dashboard. If you’ve successfully completed the three steps to become WellSet Select, it will show that you are “Verified”. 

Why can’t I login to my profile?

Make sure you are logging in to the practitioner portal rather than the client portal. Also please try resetting your password once before emailing us. Please note that both the email and password login fields are sometimes case sensitive depending on how you created your account. Make sure to double check that your email and password are entered with the appropriate casing.  If you are still receiving another error, please let us know at hello@wellset.co

Which internet browsers work best on WellSet?

We recommend using Chrome or Firefox, we do not support Internet Explorer or older versions of browsers.
